01

CRM Setup & Integration

Forward Konnect helps small and mid-sized businesses choose, set up, integrate, and optimize CRM systems that their teams will actually use.

We migrate and clean your existing data, connect your CRM with email, calendars, phone systems, and other business tools, and build pipelines and follow-up workflows around your actual sales process.

Then we train your team to use it confidently — so your CRM becomes a working sales and customer management system, not another software subscription sitting unused.

A CRM your team actually uses — not another unused subscription.

02

Who this service is for

If your customer list lives in a spreadsheet, your follow-ups live in someone's memory, and "where are we with that lead?" takes ten minutes to answer, you are the business this page is for. The same goes for companies that already bought a CRM — often a HubSpot-style system on a free tier — where half the team stopped updating it within a month because it was never configured to match how they sell.

A CRM is not a piece of software you buy; it is a habit your company keeps. Our job is to remove every reason the habit breaks: wrong system, messy data, manual updates, and screens full of fields nobody needs.

A CRM is a habit your company keeps, and our job is to remove every reason the habit breaks.

03

The problems this solves

01

Leads fall through

An inquiry arrives by email or phone, gets a first reply, then goes quiet because nobody was reminded to follow up. The lead did not say no — your process just stopped calling.

02

Nobody trusts the data

The spreadsheet has three tabs, two owners and duplicate rows. When the numbers might be wrong, people stop looking at them, and decisions go back to gut feel.

03

Handoffs lose context

Sales closes a deal, operations starts the work, and the customer repeats everything they already told you because notes never moved between people.

04

The pipeline is fiction

Deals sit in "proposal sent" for months because closing a record is manual and nobody enjoys admin. Forecasting from that board is guesswork.

Most lost deals never said no; the follow-up simply stopped.

What We Set Up

CRM Selection & Implementation

We help you choose and configure the right CRM for your business, based on your sales process — not what happens to be popular. We set up your pipelines, fields, workflows, and dashboards, removing unnecessary complexity so your team actually uses the system.

CRM Data Migration

We clean, organize, deduplicate, and securely migrate your existing customer and sales data from spreadsheets and other systems into your new CRM — giving you one reliable source of truth.

Lead Capture & Follow-Up Automation

We connect your website, email, and phone systems to automatically capture leads, assign them to the right person, and trigger timely follow-ups — while handing real conversations back to your team. Our article on automating lead capture and follow-up walks through a full example.

Sales Pipeline Automation

We automate routine pipeline tasks, flag stalled opportunities, and provide clear reporting on sales activity, leads, and upcoming opportunities, giving your team better visibility with less manual work. Quoting can join the same rails — see automating quotes and proposals for how that looks end to end.

CRM, Email & Phone Integration

We connect your CRM with Outlook, Google Workspace, calendars, and business phone systems so calls, emails, and customer interactions are tracked automatically — without constant data entry. If your current phones cannot participate, our business VoIP service covers modern systems that can, and we frequently deliver the two projects together.

A CRM configured to match how you sell is the one your team will actually use.

05

Where a CRM project fits with our other work

CRM is usually the anchor system that everything else plugs into. AI-assisted steps — drafting reply suggestions, summarizing call recordings into CRM notes — layer on top once the foundation is stable; that work is described under AI workflow automation. Syncing the CRM with accounting and other tools is its own discipline with its own failure modes, covered on the app integrations page.

The CRM is the anchor system that AI steps and integrations build on once it is stable.

06

How the engagement runs

  1. 01

    Discovery

We watch how a lead currently travels from first contact to closed deal, and where it leaks.

  2. 02

    Design

A written plan: recommended system, pipeline stages, fields, automations and integrations, with the reasoning spelled out.

  3. 03

    Build and migrate

Configuration first, then the cleaned data import, then automations — each tested with real records before going live.

  4. 04

    Train

Short, role-based sessions: salespeople learn the daily flow, the owner learns the reports, one designated person learns admin.

  5. 05

    Support

We stay available for adjustments as your process evolves. The subscription, the data and the admin rights are yours from day one.

07

What to prepare before requesting a quote

  • Your current customer list, however messy — we need to see the real state, not a cleaned-up sample
  • A rough sketch of your sales steps from inquiry to invoice
  • The names of the tools that would need to connect: email platform, accounting, website forms, phone system
  • Who on your team will own the CRM day to day

If you want grounding first, what a small business actually needs from a CRM is the honest primer we send prospects.

The real, messy state of your customer list is more useful than a cleaned-up sample.

08

What happens after you submit the form

Your message goes to our team, and we reply within one business day to book a discovery call. If your existing CRM is salvageable with configuration rather than replacement, that is what we will recommend — the cheapest good answer is the one we quote.

Common questions

Frequently asked questions

Which CRM do you recommend for a small business?

There is no single answer, and we do not take vendor commissions, so we have no reason to push one. The right choice depends on your sales process, team size, budget and the systems it must connect to. In discovery we shortlist two or three candidates, show you each against your own workflow, and explain the trade-offs before you commit to anything.

We already have a CRM nobody uses. Can you fix it instead of replacing it?

Often, yes. Abandoned CRMs usually fail from configuration, not capability: too many required fields, stages that match no real process, and no automation doing the boring updates. We audit what you have, strip it back to what your team needs, reconnect email and phones, and relaunch it with training. Replacement is the fallback, not the default.

How do you move our spreadsheet data without losing anything?

We work on a copy, never your original. The process is: export, deduplicate, standardize formats, map columns to CRM fields, import a small test batch, verify it together, then run the full migration. Your spreadsheets stay untouched as an archive, so nothing is lost even if a mapping decision needs revisiting later.

Will automated follow-up make us sound like a robot?

Not if it is built correctly. Sequences are written in your wording, sent from your address, and spaced like a considerate human would space them. The moment a prospect replies, automation stops and a person takes over. Automation handles the remembering; people handle the relationship.

Can our phone system really connect to a CRM?

Modern VoIP systems generally can: inbound calls bring up the caller's record, and calls log to the contact automatically. Older analog setups usually cannot, which is one reason CRM and phone projects often run together. We assess your current system during discovery and tell you plainly whether it can participate or needs an upgrade.

How long until the CRM is actually usable?

A straightforward setup — one pipeline, clean-ish data, email sync — becomes usable quickly, and we phase everything so your team starts working in the system early rather than waiting for a grand launch. Data cleanup depth and the number of integrations are what move timelines, and the design document gives you a realistic schedule before the build starts.
